We provide you with a secure online pin delivery system that is entirely automated, is very user friendly and easy to manage, is ready to use when you buy it and requires a very short learning/adaptation period. All you do is add pin numbers for the items you want to sell. You can sell prepaid items such as calling cards as well as eBooks, downloadable files, mp3s, downloadable programs, and more.

We provide you with a customized logo for your website and a version of the sample site (www.cardtogo.com) with your custom-chosen colors, as well as training and instruction on how to use the system and its features efficiently.

Customization

Discounts and minimum order. When your system is being setup, we'll ask if you'd like to offer discounts on bulk purchases and if you'd like to have a minimum order value. There are advantages and disadvantages to both. Discounts on bulk purchases often encourage customers to buy a few extra cards to save money, resulting in more sales, but consumes a larger portion of your profit margin. A minimum order value is effective when most of your clients have a need for more than one card, however, it may deter some people who only need one card at a time.

Personalization Settings

You have the ability to customize the look and feel of each respective tool and report in the system. You can customize and choose the following:

  • The number of records to display per page in your reports
  • The email address that the system sends email from (i.e. order@ABCcards.com)
  • Your name as you want it displayed to customers (i.e. John Smith)
  • The name of your company (XYZ Phone Card Distributors)
  • If you want to preview each "first-time" customer order so that you can verify the customer's identity prior to them receiving the pin number
  • Set weekly spending limits for your customers
  • To receive copies of pin number email, order summary, payment verification, and low stock notification emails

Your Calling Cards

You choose and manage the calling cards in your site. We suggest starting with no more than 18 cards and we will scan the card images for you. Most often, it is best to sell the cards that are most popular in the retail stores you distribute to.

You have the ability to add and remove calling cards from your website, to customize the card description and the card details (maintenance fees, billing increments, special country rates, customer service languages, etc.). Changing this information is very easy and can be done at any time by you!

You also have the ability to modify the "pin number delivery email" that gets sent to customers after a card is purchased. By default the email arrives in both English and Spanish and includes a card image, the pin number, access numbers, calling instructions, a customer service number and a link to the page where the card details may be seen. Additional languages can be added if you provide the translation. Likewise, either Spanish or English may be removed by request or by you at any time.

Pin Number Management

The secure pin numbers section is where your calling card pin numbers reside. You have the ability to import a file containing your pin numbers (you can add hundreds of pin numbers with a single click) or, if you prefer, you may add one pin number at a time. Instructions and training are provided.

Once your pin numbers are in the system, you can run reports to view and sort crucial information by card name, creation date and sold date. With this report you can easily see which pin numbers have been sold and which ones are still for sale. You have the option to view who purchased a given card, to edit card information (the pin number or a special note you'd like to add to the recipient of that card), to delete one card at a time or to remove all the sold pins from the system. The report also shows you which cards have been selling most recently and how long the cards have been in the system, which lets you gauge how quickly you are turning over inventory.

Pin numbers are automatically delivered to customers immediately after their payment has been deposited into your account, which takes a couple seconds. Customers have the ability to login to the site and, in a single click, request their "pin number email" to be sent again. This is great for customers who may have accidentally deleted the email and need another copy.

Of significant importance, the pin numbers section allows you to see the remaining inventory of each card. This is a crucial element needed to help you determine when to add more pin numbers to the system and/or purchase more cards from your supplier. Email notifications are sent when the inventory for any given card drops below 10.

The system offers you the ability to sell any denomination of cards, (i.e. $2, $3, $5, $10, $20, $50, $100, etc.). If you run out of a given card in a given denomination, the system recognizes that you are out of it and displays only the available denominations. If all denominations are out of stock, a "Temporarily out of ABC Card" message is displayed in the place of the purchase buttons.

Sort Order of Cards

The sort card and calling management sections allows you to modify the order in which cards are displayed on your website. Generally this is not changed too often, but it can be a useful tool to move your highest margin cards or your most popular cards to the top, or to sort cards alphabetically. It's in your hands!

You also have the ability to hide/remove a card from your site. This feature is helpful if one of your card carriers is temporarily having network issues and you don't want to allow your customers to buy that card. The feature temporarily removes the card from the front-end of your site (so your customers cannot see it), but not your backend system (so when you'd like to sell the card again you may do so with the click of a button).

Rate Search

The rate search box is an added feature for your customers to use to help them determine the best card for their calling purposes.

The rate search feature gives you the ability to add and modify rates (cost/minute) for calling from and to certain countries. You add the countries you would like your visitors to be able to search FROM and TO. Usually the calling FROM country list is much shorter than the calling TO country list. You also have the ability to enter rates for states/cities within a country. This is helpful for cards that have one rate to the capital city and another rate to the outlying areas.

Emailing customers and keeping in touch

The mailing section lets you manage mailing lists for each card. The system allows for significant customer interaction and the ability to connect with customers in many ways. Every customer is added to a master mailing list and a card-specific mailing list as they purchase a card. Use the mailing list feature to allow you to connect with all your customers at once or just the customers who buy a specific card.

A great example in which you may use this feature is if you'd like to inform all ABC Card customers that the rate to country X has been lowered. You may also import your own list of customers (a mailing list that you may have purchased or acquired).

If you're feeling generous, you have the option to provide the respective list that you are mailing with a discount coupon to be used on their next purchase. You control how long the coupon is valid for and what percent the coupon gives as a discount. The coupon deducts a certain percentage from the customer's entire order. Each customer receives a separate coupon code and each coupon code may only be used once. A great example in which you may use this feature would be to pass on discounts that you receive from your supplier on a given card.

The emails can be sent in HTML format to make a lasting impression, or using a plain text format, which does not allow for the inclusion of pictures, text formatting and hyperlinks.

Sales Reports

The sales report section allows you to view calling card sales data. You have the ability to view information by date of sale, item name, dollar denomination and quantity of cards sold. A great example in which you may use this feature would be to help determine which cards are most popular and therefore how many, which cards and what denomination to reorder from your supplier. For example, you may notice that the $10 ABC Card has sold twice as many cards as the $5 ABC Card, which would inform you that more customers prefer the $10 card.

Customer Detail Order History

The customers report allows you to view customer order information. You can view who has purchased most recently, how much they have purchased with you since their first visit, and the name and email of each customer. Drill down on the customer name and view their entire order history with you. If need be, you may resend their pin email.

Member Section

Each customer is given access to the members area, which displays the customer's previously purchased pin numbers and gives them the ability to request the "pin number email" to be sent again if they misplaced the first copy or if, by chance, they didn't receive it the first time.

Affiliates

The affiliates section provides an interface to manage any other distributors or associates you may have promoting their site that sells cards from your inventory in exchange for a commission from each sale.

This is a great opportunity for several distributors in the same ctiy or state as you live in that sell the same cards to team up and use the resources of one website while each separately benefitting from their separate marketing efforts. (Call me at +1 305-785-5939 to talk more about this idea). Using the affiliates feature is optional.

Payment Notification

The payment notification section displays who has paid you and offers the ability to view details on how much the payment was for and other details concerning the payment transaction. For customers paying by check, you will see a "Pending" notice. Cards are sent to customers paying by check immediately, although the check takes several days to clear. You have the option of whether or not you'd like to accept checks as a form of payment.

The system uses PayPal as the payment processor. PayPal provides a great user interface and allows people to pay directly with a credit card (no PayPal account needed) or to pay using their existing PayPal account. PayPal is affordable, secure, fast and a preferred form of payment for over 63 million users throughout 45 countries. With PayPal you can accept payments cost-effectively, with no setup or monthly fees, and low transaction fees. You get paid securely, backed by an industry-leading fraud prevention system and effective risk management models. On top of all that, you can set up your account in minutes to accept credit cards.

Email Templates

The templates section allows you to customize the emails that are sent to your customers. These templates already exist in the system and are setup and ready to be used out of the box, but you can customize the wording to your liking. The templates use HTML to allow for better customer communication. A sample template is "customer order summary", which is sent to summarize the shopping cart contents (i.e. calling cards) purchased by customer.

Coupons

The coupons section allows you to send individual customers coupons. A standard coupon template is displayed by default and can be customized simply by adding your own text. You are given the ability to incorporate "field values" into the email to present to your client a customized email. Status notices are displayed next to each coupon that has been sent notifying you whether it has been claimed, unclaimed or expired. You control how long the coupon is valid for and what percent the coupon gives as a discount. The coupon deducts a certain percentage from the customer's entire order at the time of checkout.

If you want to send a group of customers a coupon, the mailing section allows you to do so. Each customer receives a separate coupon code and each coupon code may only be used once. A great example in which you may use this feature would be to pass on discounts that you receive from your supplier on a given card or to reward a repeat customer that buys a lot of calling cards from you.

The emails can be sent in HTML format to make a lasting impression, or using a plain text format, which does not allow for the inclusion of pictures, text formatting and hyperlinks.
